How we look after your data
Last updated 16 October 2026
The short version. This website sets no cookies and runs no analytics or tracking. In the dAive service, your organisation's documents and records are stored in AWS's London region, kept separate from every other customer, and seen only by the people your organisation authorises.
Neither we nor the AI providers we use train AI models on your data.
1. Who we are
dAive is provided by Pelle Tech Ltd ("we", "us"). We are a company registered in England and Wales (company number 16086811), with our registered office at North West Farm, Canons Ashby, Daventry, Northamptonshire, NN11 3SE.
For anything about this notice or your data, email sales@askdaive.ai.
2. Our role
We handle personal data in two different capacities. Which one applies decides who you should talk to.
- This website and enquiries. When you visit askdaive.ai or get in touch with us, we decide how your data is used. We are the controller.
- The dAive service. When your employer or organisation uses dAive, it decides what goes in and who can use it. Your organisation is the controller. We act as its processor and only use the data on its instructions, under our agreement with it.
If you use dAive through your organisation and want to exercise a right over that data, contact your organisation first. We will help it respond.
3. This website and enquiries
Visiting the site
The site is a static page hosted on Amazon Web Services (AWS). To deliver it, AWS's network necessarily processes technical information such as your IP address and browser type. We do not use this to identify you and we do not keep visitor logs. There are no analytics, advertising or social media trackers, and the site's fonts are served from our own domain rather than a third party.
Getting in touch
If you email us, we use your name, email address, organisation and whatever you tell us to reply and, if you ask, to arrange a demo or a proposal. Our lawful basis is our legitimate interest in responding to enquiries about our business, or taking steps at your request before entering into a contract.
We keep enquiry correspondence while we are in conversation and for up to two years after our last contact, unless you become a customer, in which case our customer records apply. We never sell your details or pass them to anyone for marketing.
4. The dAive service
On behalf of your organisation, dAive processes:
- Account details: your name, work email address, role, and which sites, lines or machines you can see. Sign-in is handled by Amazon Cognito. dAive itself never sees or stores your password.
- Your organisation's content: the manuals, procedures, service and breakdown records and other documents your organisation loads into dAive.
- What you ask and the answers given: your questions, dAive's answers and the sources they cite, plus any feedback or suggestions you leave on an answer.
- Support requests you raise with us through the service.
- Security and audit records: who did what and when, and the IP address it came from. These keep the service secure and show your organisation who has accessed its data.
We use this data only to provide, secure and support the service for your organisation. Your organisation can see how dAive is being used, for example which questions come up often, so it can improve its documents and training. Feedback goes to your organisation's administrators. It is not used to train AI models.
5. How AI is used
When you ask a question, dAive searches only your organisation's own content and sends the most relevant excerpts, together with your question, to an AI model to write the answer. It cites its sources. If your organisation's content does not cover a question, dAive says so rather than guessing.
- No training on your data. We do not train or fine-tune AI models on your organisation's content or your questions. Neither do the providers below: training on our data is switched off or excluded under each provider's terms.
- Only what is needed is sent. Providers receive document excerpts and the question. They do not receive your name, your email address or your organisation's name. Contact details found in imported records, such as names, phone numbers and email addresses, are removed before any text leaves our systems.
- Strict limits on what providers keep. Anthropic and Cohere keep data for no more than 30 days, solely to detect misuse of their services, then delete it. Voyage AI deletes it as soon as it has been processed.
6. Who else handles data
We use a small number of carefully chosen providers (sub-processors) to run dAive. Each is bound by a data processing agreement.
| Provider | What for | Where |
|---|---|---|
| Amazon Web Services (AWS) | Hosting, storage, backups, sign-in (Amazon Cognito) and service emails such as invitations | United Kingdom (London region) |
| Anthropic | Writing answers (Claude) | United States |
| Voyage AI | Making documents searchable (embeddings) | United States |
| Cohere | Ranking search results by relevance | United States / Canada |
We will tell our customers before we add or replace a sub-processor that handles their data.
7. Transfers outside the UK
Your organisation's content is stored in the UK. To answer a question, excerpts are processed by the AI providers above, outside the UK. Where that happens, the transfer is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or Addendum, or the UK–US data bridge where the recipient is certified to it.
8. Security
- Data is encrypted in transit (TLS) and at rest.
- Every customer's data is kept separate, and every request is checked against the organisation and the access of the person making it.
- Access is invitation-only, by role. Your organisation's administrators decide who can see what.
- Our own staff can only see inside a customer's account when they have been given explicit permission to support it. Everything they view is recorded in an audit log.
- Backups are taken nightly, checked and kept for 30 days.
9. How long we keep data
| Data | How long |
|---|---|
| Account details | While your account is active. When your organisation removes you, you lose access straight away. |
| Your organisation's documents | Until your organisation deletes them, plus up to 30 days in backups |
| Questions, answers and feedback | For the life of your organisation's account, unless it asks us to delete them |
| Audit records | 365 days |
| System logs | 30 days |
| Data held by AI providers | Up to 30 days (Anthropic, Cohere). Not kept (Voyage AI). |
| Enquiries to us | Up to two years after our last contact |
When a customer's contract ends, we delete its data, or first return it if asked, as set out in our agreement with that customer.
10. Your rights
Under UK data protection law you have the right to:
- access the personal data held about you;
- have it corrected or deleted;
- restrict or object to how it is used;
- receive it in a portable form.
For the dAive service, make your request to your organisation. For this website and enquiries, email sales@askdaive.ai. We will reply within one month.
If you are unhappy with how your data has been handled, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
11. Cookies
This website uses no cookies. It sets none, reads none, and loads nothing from other companies that would. That is why you will not see a cookie banner here.
The dAive app does not use cookies either. It does store a few things in your browser that it needs in order to work, which do not require consent:
| What | Why | How long |
|---|---|---|
| Sign-in session (session storage) | Keeps you signed in while the tab is open | Until you sign out or close the tab |
| Light or dark theme (local storage) | Remembers the theme you chose | Until you clear it |
| Reminder dismissed (local storage) | Stops today's document review reminders reappearing once you have dismissed them | Until you clear it |
None of these are used for tracking or advertising, and none are shared with anyone.
12. Changes to this notice
We will update this page when how we handle data changes, and change the date at the top. If a change affects our customers' data, we will tell them directly before it takes effect.
